ELHS Parent Council Job Descriptions
President
(Excerpted from the by-laws) It shall be the duty of the President to provide leadership, guidance and direction to the structure and operation of the council. The President shall be the chief executive officer of the Parent Council and, subject to the control of the Board, shall in general supervise and control all of the business and affairs of the Parent Council, including presiding over Parent Council meetings and chairing the Executive Board.
Vice President – Communications
Write the weekly e-bulletins and submit Parent Council info for the monthly Parentline. On average, position requires 2-3 hours a week on the e-bulletins, updating information from previous years’ e-bulletins as templates and researching information from the ELHS and district websites. Note that e-bulletins tend to have more information at the beginning of the school year and the first ones go out in August well before school starts.
Treasurer
Provides a budget and monthly year to date financial statement for approval of the Parent Council; files appropriate paperwork in September and February regarding non-profit status and tax reporting; writes checks for reimbursement or funding as needed; reports on Parent Council financial status at regular business meetings; follows fraud-prevention protocol defined by PC board.
(Excerpted from the by-laws) The Treasurer shall: (a) file a new bank signature card by the second regular meeting containing Treasurer, President and Principal signature; (b) propose and oversee the annual and ongoing budget set forth to the Board; (c) have charge and custody of and be responsible for all fund and securities of the Parent Council including preparing and filing tax returns (annually); (d) receive and give receipts for monies due and payable to the Parent Council from any source whatsoever, and deposit all such monies in the name of the Parent Council in such banks, trust companies or other depositories as shall be selected by the Board; and (e) in general, perform all of the duties pertinent to the office of Treasurer and such other duties as from time to time may be assigned to him/her by the Board or by the President. The Treasurer shall provide a monthly accounting of the Parent Council’s financial activity at each meeting of the Parent Council and an annual accounting at the end of the fiscal year. The Treasurer shall be responsible for the disbursement of ELHS Parent Council funds and each disbursement will require written approval of both the Treasurer and the President.
Secretary
(Excerpted from the by-laws) The Secretary shall: (a) record and keep the minutes of the proceedings of the Parent Council meetings and of the Board; (b) see that all minutes are posted on the school website; (c) see that all notices are duly given in accordance with the provisions of these Bylaws or as required by law; (d) be custodian of the Parent Council records for the current term of office and pass the records on to the new board; (e) keep a register of the contact information of each Board member which shall be furnished to the Secretary by such member; and (f) in general, perform all duties as from time to time may be assigned to him/her by the President or the Board.
Teacher Grants
Solicits grant requests from teachers and brings requests to the Parent Council for consideration; assists in facilitating payment or reimbursement of approved grants; checks the Parent Council mail slot prior to each monthly meeting for grant requests and communications, and distributes as needed.
Student Grants
Solicits grant requests from ELHS student organizations and brings requests to the Student Grants Committee for consideration; shepherds the Student Grant Committee’s funding recommendations through the Parent Council approval process; assists in facilitating payment or reimbursement of approved grants; trains members of the Student Grant committee and recruits new members annually.
International Families
Work with ELHS staff, including Sue Bledsoe and Student Services to identify new international families and welcome them to our community. Provide new international families with orientation to the school community and support as needed.
Social Media
Keep ELHS parent council website up to date. Maintain ELHS PC’s Facebook and Twitter presence to keep parents informed of activities at the high school.
Staff Meal Coordinator
Organize and host two luncheons for ELHS teachers and staff each year during conference weeks. Request dishes made by ELHS families and served buffet-style in teacher lounge during both lunches the day of the event. Accept numerous compliments and expressions of gratitude from faculty and staff, complete step-by-step instructions available!
